At Champfy, we respect your privacy and are committed to protecting your personal data. This privacy policy explains what data we collect, how we use it, and your rights regarding your information.

  1. 1. Information We Collect

    When you use Champfy, we collect and store the following information:

    • Personal Information: Full name, email address, mailing address, date of birth, gender, and cellphone number.
    • User Authentication Data: OAuth sign-up credentials, such as username, profile picture, and other details tied to your account.
    • Session & Usage Data: We use cookies to maintain your logged-in session and track web events like clicks, page views, and time spent on pages.

  2. 2. How We Collect Information

    We collect personal data through:

    • OAuth Sign-up: You may choose to sign up using third-party identity providers.
    • Internal Forms: Information submitted directly through Champfy's website, such as during account creation or profile updates.

  3. 3. How We Use Your Information

    We use your information for the following purposes:

    • Account Setup: To create and manage your user account.
    • Connecting Users: To match you with other users for sports activities and leagues based on your preferences.
    • Marketing & Communication: To send you updates, offers, and other information relevant to your experience.
    • Enhancing User Experience: To improve website functionality, design, and content to better meet your needs.
    • The personal information collected by Champfy will be used to operate the League and to provide the service(s) or carry out the transaction(s) you have requested or authorized. In support of these uses, Champfy may use personal information to provide you with more effective customer service, to improve our site and any related Champfy products or services.
    • We may use your personal information to provide you with important information about the product or service that you are using, including critical updates and notifications. Additionally, with your permission, we may send you information about other Champfy products and services, and/or share information with Champfy partners so they may send you information about their products and services.
    • For the purpose of providing league service, Champfy will disclose the following personal information only to the members you are assigned to play with. This information is limited to your name, phone numbers and email address. This information is required for your opponents to be able to contact you and schedule matches. Your home address is never disclosed to other members or third parties.
    • Champfy may disclose personal information if required to do so by law or in the good faith belief that such action is necessary to.

  4. 4. Cookies & Tracking

    We use cookies to:

    • Maintain your logged-in session.
    • Track activity on our website, such as which pages you visit, clicks, and overall engagement, to provide a personalized experience.

      • You can disable cookies via your browser settings, but note that this may limit your experience on Champfy.

  5. 5. Data Security

    We prioritize the security of your personal information. We store your data on secure servers and encrypt sensitive data to protect against unauthorized access.

  6. 6. Advertising, Analytics and Marketing

    In order to support the Champfy business and provide our users with relevant information regarding the Service and opportunities presented by partners, Champfy may use your personal information for marketing the Service. We may also communicate with you and others about opportunities, products, services, contests, promotions, discounts, incentives, surveys, and rewards offered by us and select partners. We may also display relevant advertising to you while using the Service. To learn more about how we display relevant advertising to you, and to exercise choices, please read the Choices section below and our Ad and Cookie Policy.

    Promotional Communications You may receive promotional email messages from Champfy when you first interact with the Service or by making a request to us. You can opt out of receiving promotional email messages from Champfy at the time we collect your information by following the instructions on screen, in those email messages, or by changing your notification settings in your Champfy account. Opting out of receiving communications may impact your use of the Services. If you decide to opt out, we will still send you non-promotional communications, such as digital receipts and messages about your account or our ongoing business relations.

  7. 7. Your Rights & Control Over Your Data

    You have control over your account and the data you share. You can:

    • Update Information: Edit or update your profile information at any time.
    • Delete Account: Request the deletion of your account and associated data.
    • Marketing Preferences: Opt out of marketing communications through settings or by contacting us directly.

  8. 8. Childrens Information

    Champfy experiences are designed for general audiences. Some account and league features may require users to meet age and consent requirements under applicable law. We do not design Champfy for children under 13. If we learn that personal data was collected from a child under 13 without required consent, we will delete that data and take appropriate account action.

  9. 9. Updates to This Privacy Policy

    We may occasionally update our privacy policy to reflect changes in our practices. When we make updates, we will notify all users via email and provide ample notice before any changes take effect.

  10. ChatGPT connector (MCP)

    When you use Champfy through ChatGPT, OpenAI hosts the conversation and routes tool calls to Champfy's Model Context Protocol (MCP) connector at https://www.champfy.com/api/mcp.

    The connector exposes these read-only tools:

    • estimate_skill_level — You submit tennis quiz answer choice IDs (not your name). Champfy returns a skill level code, title, category, confidence, rationale, and a suggested next step with a Champfy deeplink. No account required.
    • get_tennis_skill_quiz — Returns the public quiz questions and answer choices (ids and labels). No personal data.
    • render_tennis_skill_quiz — Loads an optional in-chat widget for the same quiz. The widget may keep your in-progress choices in the ChatGPT session until you submit via estimate_skill_level. Opening Champfy from the widget uses user-initiated external links to champfy.com URLs only.
    • find_players — Searches Champfy for nearby players when you are signed in (OAuth). You may optionally provide a city name only when you explicitly named a place in the conversation.

    When find_players runs successfully, structured results may include:

    • For each player: a display name (often shortened, for example first name and last initial), profile URL, gender, and sport skill levels
    • Optional search location with the city name used for the search (not GPS coordinates)
    • Result counts and guidance messages (for example sign-in prompts or suggestions to broaden search)

    We do not return player user IDs, handles, avatars, precise distances, or latitude/longitude through this connector.

    Authentication. Some tools use OAuth 2.1 through our authentication provider when your Champfy account is required. Scopes may include openid, email, and profile. Access tokens are validated per request and expire per provider-configured session settings.

    Recipients. OpenAI acts as the host when you use ChatGPT. Champfy processes tool requests and account data needed to fulfill them.

    Retention. Champfy account data follows the retention practices in this policy, and for the ChatGPT connector specifically:

    • Quiz-only tool inputs (get_tennis_skill_quiz, render_tennis_skill_quiz, estimate_skill_level) are processed in request memory to generate a response. Champfy does not store these tool inputs as persistent user profile fields in Champfy databases.
    • Player search tool requests (find_players) use your authenticated Champfy account context and optional city text (if provided) to return nearby results. This request data is used to fulfill the tool call and is not written as a permanent profile update by the MCP connector.
    • OAuth/session artifacts (for example access tokens and refresh/session metadata) follow provider token lifetimes and session controls configured by Champfy. Current session controls are: refresh-token compromise detection enabled with a 10-second reuse interval, user sessions time-boxed to 168 hours (7 days), no inactivity timeout, and single-session enforcement disabled.
    • Operational logs (for example web server and infrastructure logs used for reliability and security) may be retained by Champfy and hosting providers for a limited period under their standard retention settings.
    • ChatGPT conversation content is governed by OpenAI's terms and policies.

    We keep data only as long as needed for the purposes described in this policy, legal obligations, dispute resolution, and security.

    Advertising. The Champfy ChatGPT connector does not show in-chat advertising. Champfy website and email marketing are described in Section 6.

    Age. The connector tools (quiz and player discovery) are suitable for general audiences, including teens. Champfy does not target children under 13.

  12. Waiver and Assumption of Risk:

    • I understand that participating in sports carries inherent risks, both known and unforeseen, which could lead to physical or emotional injury, paralysis, death, or damage to myself, property, or others. These risks are part of the nature of sports and cannot be entirely avoided without altering the essence of the activity. Potential risks include, but are not limited to: slips, falls, exhaustion, temperature exposure, collisions with other players, being hit by equipment, equipment malfunctions, adverse weather conditions, and serious injuries to bones, muscles, joints, ligaments, and the neurological or musculoskeletal systems.
    • By voluntarily registering for the Champfy Sports League, I fully accept all risks associated with the activity and choose to participate despite them. I have consulted with healthcare professionals as needed and have independently decided to engage in tennis, understanding the risks involved.
    • I confirm that I have sufficient insurance to cover any injury or damage I may cause or experience during my participation in Champfy. If not, I accept full responsibility for any costs that arise. Additionally, I understand it is my responsibility to assess the safety and condition of the facilities I play at, and by playing a match, I agree to do so at my own risk. I release Champfy and any host facility from any liability for injuries or damages resulting from my participation.

  13. Covenant not to Sue, Release and Indemnification:

    • In consideration of my participation in Champfy, I agree, on behalf of myself, my heirs, legal representatives, and assigns, not to file any lawsuit or legal action against Champfy, its officers, directors, employees, shareholders, agents, or representatives for any current or future claims related to accidents or injuries resulting from my participation.
    • I expressly release, waive, and discharge Champfy, its officers, directors, employees, shareholders, agents, or representatives from any and all claims, liabilities, or causes of action for death, personal injury, or property damage arising from my participation in Champfy, even if caused by negligence or carelessness. This waiver applies to all claims, whether known or unknown, foreseen or unforeseen.
    • I also agree to indemnify and hold harmless Champfy and its officers, directors, employees, shareholders, agents, and representatives from any losses, liabilities, damages, or costs they may incur as a result of my participation, regardless of negligence or carelessness on their part.
